How to rotate, trim, and annotate files without opening them on our Mac

On Macs, we have the ability to preview and edit files without needing to fully open them. A feature that, in addition to providing convenience, also allows us to improve our workflow and daily interaction with various documents.

Tools depending on the document we are previewing

The preview functionality covers a wide variety of formats, from images and PDF documents to music, video, Word, Excel, PowerPoint, Pages, Numbers, Keynote, text, html, among others. By selecting any file and pressing the space bar, we will be presented with a preview accompanied by various interaction options.

The main option allows us to close the preview, either by clicking the small "x" in the top left corner or simply pressing the space bar again. In addition, we have the possibility to expand this view to full screen using the two-arrow button located in the top right corner.

The rest of the tools will appear depending on the document we have selected, so we can, for example, trim the duration of a video while this same adjustment does not make sense for a PDF. The complete list of tools is as follows:

  • Marking: Symbolized with a pencil inside a circle, it allows us to use marking. A simple palette of brushes, colors, and shapes with which to mark and edit a PDF file or an image. After finishing the editing, just touch Accept to save the changes.
  • Rotate: A square with an arrow rotating around it indicates the tool with which we can rotate the orientation of the element. We will see this option appear in PDF documents, images, and videos.
  • Trim: A square with arrows to the right and left allows us to trim the duration of video or audio elements. A resource that we can use to remove part of the beginning or end of these files.
  • Share: The square with an arrow pointing upwards allows us to send the file we are previewing via Mail, Messages, Twitter, etc.
  • Open with App: The Open with [App] button, found at the top right of the window, will open the file we are viewing in the corresponding app. Ideal for other modifications we need to make to the document.

Efficiency is undoubtedly optimized in the details. On many occasions, we only need to take a quick look or make a small modification to a file. Having immediate access to these tools is something to keep in mind.
